Guidelines, Conditions, Expectations:

Alamanda café & Providore wants your function to be a success. We know the best way to achieve success is to formulate a strong, honest and open relationship with you, the event organizer.

A relationship where communication is clear and expectations from both sides are understood from the beginning. Alamanda café & Providore are hired under the terms and conditions set out below and as described in relevant venue documentation.

The payment by any person of any fees and charges for such services and venue facilities shall be deemed to be an acknowledgment and acceptance by such person of these conditions.

•Quotation Once you have discussed your brief, Alamanda café & Providore team will develop a quotation for you based on your individual requirements. This written quotation will remain valid for 30 days from date of issue. In the instance that the event brief alters, it may be necessary to review and reissue each quotation.

•Prices While all attempts are made to maintain published prices, they may be subject to change at the discretion of Alamanda Café & Providore If prices will differ, the client will be informed before the event date. Prices quoted include GST unless otherwise specified.

•Confirmation of Booking
 Alamanda café & Providore considers confirmation of the event upon receipt of these terms and conditions signed and accompanying payment of the requested deposit by the due date specified. Failure to adhere to this procedure may result in Alamanda Café & Providore being forced to cancel the event.

•Payment Terms 
As many costs are incurred prior to the event date, Alamanda Café & Providore has the following payment terms: ◦A deposit, based on a minimum of 50% of total quotation costs, is required to confirm your event (where venues are booked on your behalf, a larger deposit may be required). ◦For Pre Approved Corporate clients (ABN applicable) full payment of all known costs is payable up to seven (7) days after your event date. ◦For private clients full prepayment of all known costs is payable 2 full working days prior to the event date. ◦Payment can be made by direct credit (EFT), company cheque, bank cheque or cash. Amex attracts a 1.5% surcharge & public holidays may attract a 10% surcharge unless specified. ◦Outstanding accounts may incur a charge of an additional 10% of the total invoice. ◦Exceptions to this clause may occur in the instance where a venue cancellation fee applies. Venue cancellation fees will be the responsibility of the client in the instance where Alamanda Café & Providore is unable to rebook for the previously agreed date.

•Cancellation In the instance that you need to cancel your event, the following conditions will apply: ◦All cancellations must be made in writing. ◦If cancellation occurs more than 60 days prior to the event date, 100% of the deposit will be refunded. If cancellation occurs 21-60 days (inclusive) prior to the event date, 50% of the deposit will be refunded. ◦If cancellation is received less than 21 days prior to the event date, the cancellation fee will consist of the total deposit and all non-refundable charges. ◦Where circumstances beyond Alamanda Café & Providore control prevent Alamanda Café & Providore from fulfilling any obligations, Alamanda Café & Providore will be released from this agreement without penalty.

•Confirmation of Guest Numbers ◦To ensure maximum value and efficiency for you, Alamanda Café & Providore requires confirmation of minimum numbers attending your event at least 10 (ten) working days prior to the event date. ◦The final number of guests attending the event is required 7 (seven) working days prior to the event. ◦If the confirmed number of guests increases by more than 5% less than 2 (two) working days prior to the event, a surcharge of 10% may apply on food charges for the additional guests. Alamanda Café & Providore will endeavor to accommodate any requests at late notice, but are unable to give a guarantee.

•Tastings ◦Alamanda Café & Providore can provide tastings for Seated and Canapé Menus only. When the function has been booked and confirmed with the deposit of 25% paid on the total quoted package a date and time can be arranged to suit both Alamanda Café & Providore and the client. ◦Tasting Costs, if required are for bookings of 50 people or more. ▪Seated Menu - $30.00per person. Designed for two (2).
2 Entrées, 2 Mains and 2 Desserts of clients choice.

▪Canapé Menu - $20.00per person. Designed for two (2).
A selection of chefs choice canapés. Every effort is made to provide you the client your choice of canapés that you will be having for your function although there are some dishes that can not be made in such small quantities.

•Staff Charges where applicable ◦Should the event brief fall outside our minimum numbers or package costing, a service charge will apply. These charges will be calculated on an individual event basis. ◦Events must be finished at 11pm due to the centre management’s requests. ◦Surcharges will apply for all events held on public holidays (10%), this surcharge is calculated on the total food spend. •Responsible Service of Alcohol/Disorderly Conduct ◦Alamanda Café & Providore has a Responsible Service of Alcohol Policy. It is illegal to serve alcoholic beverages to any person who is intoxicated or who may attempt to drive a vehicle, and as such Alamanda Café & Providore reserves the right to refuse service to such person and or request the departure from the premises. It is illegal also to serve beverage to any person less than eighteen years of age and Alamanda Café & Providore reserve the right to request suitable identification to this end. ◦We at Alamanda Café & Providore will not permit or suffer any riotous, disorderly, offensive or improper conduct. Offenders will be asked to leave the event and may be escorted off the premises by a Alamanda Café & Providore representative or member of security personnel.

•Damages ◦Neither Alamanda Café & Providore nor any venue booked on behalf of the client shall be liable for any loss or damage sustained by the client or by any person, firm or corporation supplying any client. The client shall be responsible for the cost of making good any damage or loss caused to any venue booked on behalf of the client and Alamanda Café & Providore buildings, furniture, fittings and equipment arising out of and in the course of the client's events. •Indemnity ◦The client uses and occupies any venue booked at their own risk. The client hereby indemnifies Alamanda Café & Providore and agrees to keep Alamanda Café & Providore indemnified against all actions, suits, proceedings, claims and demands, costs and expenses whatsoever which may be taken or made against Alamanda Café & Providore and/or incurred arising out of injury or damage to any person or property from or during the use of any venue. •Venue Specific Terms & Conditions ◦In instances where Alamanda Café & Providore books venues on behalf of the client, the client is also bound by the venue Terms & Conditions. ◦Payment of any fees and charges for Alamanda Café & Providore services and venue facilities shall be deemed to be an acknowledgment and acceptance of those conditions. A copy of the venue specific Terms & Conditions is available from Alamanda Café & Providore on request.

CANCELLATIONS OF EVENT

Many venues have the policy that “once gates are open, all hospitality packages will go ahead” for their events. In the event of weather or other factors causing an event cancellation decision after the gates are opened then this agreement may still apply and all hospitality will go ahead. Should the event then be transferred to another day, Alamanda Cafe & Providore will use its best endeavours to supply replacement hospitality on this day, however additional fees such as catering may apply to the replacement event. In the event that an event is cancelled or abandoned for any reason Alamanda Cafe & Providore will use its best endeavours to credit the fee to the purchaser, however the purchaser acknowledges that this may not be possible with certain events (depending on individual event supply, venue and catering conditions and regulations that may apply) and that Eclipse is under no obligation to replace such events. Alamanda Cafe & Providore may cancel an event booking or at its discretion offer alternative dates or venues if the venue is unfit for use or the purchaser is in breach of any provision of this Agreement.
